Property Administrator - Glasgow

Asset Services is one of CBREs key service lines, which is led by Richard Williams and currently employs around 800 people within the UK.

The Asset Services team enable their clients to focus on their core business by managing their real estate with total efficiency and with the aim of maximising its value. Their investment in both people and technology has created a state-of-the-art property management service, which enables them to deliver results aligned to the clients vision.

Key Responsibilities

The role will be wide ranging and will include the following:
Arranging inspections multi let (quarterly or monthly) / single let six monthly or annually
Liaising with utility companies for void FRI properties (notify boards to let them know last meter readings and then inform when property let)
Dealing with rates for all void properties logged onto system, check addresses, and liaise with Surveyors to ensure void funding to get them paid in instalments
Update the system with change notes
Maintaining in house database/spreadsheets
Update the Asset Services Property Contacts Database (PCD) when required
Insurance: support on claims admin administration (chasing Building Managers and Surveyors to obtain quotes) and updating renewal spreadsheets
Drafting mail merges
Answer queries on the phones
Running and collating client reports
Sending out welcome letters
Fee billing
Sending service charge budgets/reconciliations to tenants & variance reporting
Ad hoc administrative duties as and when they arise
Person Specification/Requirements
Strong administrative skills
Strong interpersonal skills
Good organisational skills
Good communication skills and experience in building relationships with key business stakeholders
Good MS Office skills including Word, PowerPoint, Excel and Outlook
Task oriented and self-motivated, with ability to prioritise issues
Previous experience working within the Property industry would be advantageous
Able to work as part of a team, supporting other team members and recognising the work of others
