Office Manager And Personal Assistant

Key Duties:
Design and implement office policies by establishing standards and procedures.

Collate time and attendance data for the Operations Team.

Verify the information.

Prepare accurate, monthly time sheets for the wages department to facilitate payments to staff.

Collate time and attendance date for the match day operation.

Verify information.

Prepare accurate matrices for the wages department to facilitate the annual payment of

Bonuses and holiday pay.

Collating maintenance request, prioritizing and issuing tasks to the respective maintenance operative. Ensure the works are carried out effectively and efficiently.

Managing and maintain filing systems.

Screening telephone calls and dealing with enquiries

Organising the Directors diary.

Facilitate and record holiday and lieu time requests.

Collate staff attendance and submit the information to the Operations Director for authorization.

Clearance of company invoices / purchase orders.

Seek competitive price quotations/quality for goods used with the department.

Order goods on behalf of the Maintenance Team.

Review the current maintenance agreements with the Head of Operations and source value for money agreements.

Attend Operations and functions sheet meetings. Provide minutes.

Collate match day time and attendance sheets; record and prepare accurate costing for the Pay Clerk to facilitate payments.

Delegate tasks as necessary to the Housekeeping Manager.

Arrange the delivery of staff appraisals through Operational managers

Organise the annual certificates as prescribed under the General Safety Certificates for the Safety at Sports Grounds and prepare for Local Authority Inspection.

Order stationary and furniture.

Arrange appointments.

Dealing with correspondence, complaints and queries.

Attend local authority meetings.
